This article applies to event websites created in the Modern event website builder.
Event websites (built in Modern) have a default "live until" date of 3 months after the event START date (not end date).
You’ll see your “Live until” date in the Online Panel, under Event Website, after your event website is created.
You can also see the "Live until/Available until" date for your event website in Settings (press the Settings button after creating the website).
Two weeks before the “Live Until” date, you’ll see a “Closing Soon” label under the name of your site, in the Online Panel (under Event Website). There'll also be an "Extend" button (which will take you directly to the extension date settings described.
You’ll also get an event alert (High level) about this.
After the “Live Until” (expiry) date, the event website is UNPUBLISHED, and you'll see the label "Closed" in EventsAir. The website cannot be seen online or edited, but it can be cloned.
To extend the event website "Live Until" date, use the calendar tool in Settings to select a new date. (See screenshot below)
Click the Calendar icon and then select the "Live until" date you want to extend to. If costs apply (see below), you’ll see a pricing and authorization pop-up appear.
After authorizing the cost, make sure you press "Save" to keep your new "Live Until" date.
If you don’t want to proceed with your selected extension date, close the cost authorization pop-up by clicking the word "Cancel" (bottom left).
You can then either exit Settings (to leave the "Live until" date as it is) OR select a new extension date, then authorize costs (if applicable) and save.
You won’t need to authorize costs if you choose a date that's either before the existing expiration date OR is before the end of the period you've already paid for (see costs information below).
More about event website "live until" date extension costs
There's a small monthly fee for extending event website live dates.
Each time the extension date is changed,(unless you’re choosing an earlier date and the fee is already covered) a 3-month minimum charge fee applies to cover administration costs (unless your previous extension already covers the charge until that date).
Monthly charges are based on dates, not 30-day periods. For example, if your event start date was September 21, your original "live until" date (no cost) will be December 21. Likewise, if you extend this by 3 months (and pay the fees) the new expiry date will be March 21, even though February is a short month.
A part-month is charged as a full month.
All of the above applies regardless of whether or not a custom domain is attached.
Examples below:
Number of times a date extension was requested | Number of months per request | Charges (based on 3-month minimum per request, each part-month charged as full month) |
1 | 2 months | 3 x monthly fee |
1 | 3.5 months | 4 x monthly fee |
1 | 8 months | 8 x monthly fee |
2 | First time for 8 months, | 11 x monthly fee |
2 | First time for 2 months, | 3 x monthly fee |
