Meeting Hub (in Attendee App & OnAir portal)

During events, attendees look for other attendees to connect, such as colleagues or friends.

Meeting Hub is where attendees can search for other attendees, request meetings in advance or engage in face-to-face or virtual conversations on the spot.

The Meeting Hub can be accessed before, during, or after sessions, from the Attendee App and/or the OnAir portal.

The Meeting Hub (which is for casual, ad-hoc meetings that attendees set up between themselves) should not be confused with the Meetings & Missed Meetings components in the Attendee App (which are part of the pre-arranged meetings that you set up via the Meeting Matching feature).

Adding the Meeting Hub component to the Attendee App

  • Drag in the Meeting Hub component – in the Attendee App builder.

  • Most of the other Meeting Hub Attendee App settings are self-explanatory, or mirror those for the OnAir portal, listed below. For more information on setting up this component in the Attendee App, go to this article.

Setting Up Meeting Hub - OnAir portal

You can set up Meeting Hub in the OnAIR Portal settings:

  • Enable Meeting Hub – select this option to turn on Meeting Hub in OnAIR

  • More Info Button – select the Merge Doc you’ve created to display additional details about this attendee. (Use a Merge Doc without a header, and insert merge fields as needed from the contact section of the attendee’s record.)

  • Meeting Hub Profile Survey – this is a short survey that attendees complete in advance, before taking part in the Meeting Hub. You create the survey in the Communications panel, using questions you wrote in Setup (Surveys). You should keep these profile questions simple, usually checkboxes or radio buttons.

    * Multi-line text answers are not currently supported in Meeting Hub surveys.
    You can use a Note Type and add it to Merge Doc as a "More Information" option.


    * Because Meeting Hub surveys are filled out directly inside the OnAIR portal or Attendee App, they don't need components that are part of other survey types (e.g. a submit button or live dates).


    * Meeting Hub surveys in the Attendee App are added to the Privacy & Settings component (which is where the attendee fills them out) AND the Meeting Hub component (for the Survey responses to be visible to other attendees, under the Profile tab).

  • Meeting Date Range (Start and End Date) – This option lets you set the available date range for meetings to be set between attendees

  • Create New Connections in Meeting Hub – This option lets you restrict which groups of attendees can request connections in Meeting Hub

    • All Contacts

    • Target Group

Note: All attendees can access the meeting hub to accept and manage their connections. Only attendees identified here will be able to view and search other attendees and request connections.

It is also possible to disable the Meetings tab in the Meeting Hub to stop attendees from scheduling meetings with each other.
