In this webinar, we'll look at how to use EventsAir's Registration Recovery and Attendee Verification features.

Q&A
These questions have been collated from the 3 regional webinars. Some questions were asked by more than one person, so you may not see the exact same wording you used in your question. Also we can only answer in general terms, so bear in mind your specific situation may need a different solution.

Access to Webinars
Where can I watch the recording later? [often asked during webinars]
We put our webinars here in the Education webinar library (where you are right now) 😊 and email the link out to registrants, once the Q&A has been compiled.
EventsAir Comms Coach
I can’t see the AI assistant. Is this available for everyone?
Yes, in HTML components in the latest version of EventsAir. Read more here.
Registration Recovery
Access
How do I get access to Registration Recovery?
This has been released to all customers, so you should see it in your Interactive Site builder, under the Details tab, once you update to the latest version of EventsAir, although you may not if the event or site is cloned. Please submit a ticket to Support if you're still having this issue.
Reminder emails to incomplete registration contacts
Why was the content missing when we sent our Registration Recovery Merge Doc?
The content needs to be added via HTML component, with a filter on that content component to include incomplete registrations. (Because the default is to exclude them.) Sorry that wasn’t included in the video.
Wasn't there an issue with setting up recurrences?
It's working fine at our end - please raise a Support ticket if needed.
What do we do if someone responds to a registration recovery reminder email that they want to ‘opt out’?
Reminders will send according to your settings in the recurring emails setup (such as whether you've checked the “This is Marketing” checkbox – and you probably want to do that, given the nature of these emails). That checkbox will add an ‘unsubscribe’ option to the email, and if someone unsubscribes (opts out of Marketing), they are no longer sent emails you've set as "This is Marketing". [Note that you can manually check that box for a Confirmation Merge Doc; it'll be checked automatically for a Marketing Merge Doc.] You may also want to consider other filters.
You can then add the “Marketing Privacy” component (in the Contact module component) to your interactive registration site. You can change the heading, label and/or help text if you want to (see below). Opting out does the same as 'unsubscribing' - it stops emails with the "This is Marketing" box checked being sent to those people in future sends.
Alternatively, you could add some other type of custom field, and add a filter based on that. But you'd have to manually update that field if asked to remove someone (to have them filtered out).
Either of these options would only apply within the event (and Incomplete Registration contacts are not added to a Contact Store, even if you're using one). So you may want to review relevant data privacy regulations, and check your setup to look at how you manage this longer term/across multiple events if someone asks to opt out. For example, you may want to use a Smart Connector that's linked to your CRM; add Attendee Verification / Attendee Single Sign-On to ensure you only follow up those who’d like to be reminded.
Contact records
Why do we still see the red "Incomplete Registration" label on contact records, even after submitting the full site?
In order to update their original incomplete registration, they need to complete registration with an auto login token, and you may need to refresh the contact to see the update.
When filtering, does ‘including incomplete registrations’ add those records to the results, or does it only show the incomplete ones?
It will "include" them (alongside all others) UNLESS you specify the relevant interactive registration site and/or dates; then it will only show those incomplete records.
Does it save all data that they had completed in the form or is it just their contact information?
Just the contact info (in case they want to change other details later).
Groups
How does Registration Recovery work for Group registrations?
For data privacy reasons, an Incomplete Registration is possible for a Group Contact, but not Group Members. Similarly, an incomplete registration record can be created for a booking contact but not a guest.
Payments
When will the Incomplete Registration feature in Stripe be available?
[There was an issue with EventsAir Pay powered by Stripe payments when Registration Recovery was enabled on the site.] There’s a fix in the upcoming (November 17) release.
Attendee Verification
Data fields
Can you hide certain fields so they pull through into EventsAir but aren’t visible in the registration site?
When fields are invisible on a registration site, data won’t pull through into the EventsAir contact record (existing data is overwritten with a blank/null value if you'd imported it separately beforehand). You can make fields 'read-only' or not editable, or you can import the data separately after registration. Our product team are looking at enhancing this in the future and we'll advise you of any updates. Depending on the data, you may also be able to use Submit Action with packages to add some data to contact records behind the scenes.
Integrations
If details are wrong in the CRM, can attendees override / update the information?
If you make fields visible and editable, someone can edit what goes into EventsAir, but to write the information back into your CRM, you'd need a specific integration set up - please talk to your Account Manager and Integration Services about that aspect.
Our Smart Connector brings data from our CRM into EventsAir. Can we make it work in reverse? (e.g. to add email addresses and locations back into our CRM)?
That also sounds like a conversation for our Integration Services team :) A Smart Connector can do it, but you'd need to ensure the ID from your CRM is included (and visible on the registration site) in your Attendee Verification setup; and your Smart Connector has to include the 'push back data' feature. It'd require permissions from the external platform also.
Does Attendee Verification work with a Contact Store?
It’s more of a solution for those who don’t use Contact Stores, and works differently. We're working on a number of features related to this. [Customer indicated they had a specific use case, so we invited them to email [email protected] so we can directly assist.] You may also want to look at Attendee Single Sign-On.
Does this work with Rubi CRM system?
Please reach out to your Account Manager to discuss further.
Groups
How does Attendee Verification work if a group contact is registering for others?
If you add a group component on the first page, you can enable the setting for "I am not attending" which allows someone (e.g. an executive assistant) to register other attendees. However, regardless of whether the Group Contact is attending, Attendee Verification will only work for the first person being registered (not other group members). Again - as for Registration Recovery - this is for privacy and data compliance reasons. You may want to reach out to your Account Manager to organize some training and our Customer Success team can help you create a logic flow for this scenario.
If an email address is attached to two different names, how does the system know which field to pull through? (For example, if parents register their child, putting in their own email again when asked for the child’s email.)
Again, we recommend having a more in-depth discussion with your Account Manager. They’ll be able to review your specific setup, understand your requirements in detail, and advise on the best approach or possible configurations.
