Duplicate Finder searches for duplicate records based on your nominated search criteria, such as name, email address, phone or organization.
First, define your duplicate search criteria. Depending on the size and makeup of your attendee list, you may want to keep your search simple (search for duplicate email addresses only), or search by multiple criteria:
Last Name
Organization
Primary Email
Work Phone
First Name
City, State, Zip/Post
Selecting more than one criteria will create a narrower search - ONLY those records that match ALL selected criteria will be displayed. This could create problems if (for example) somebody has left their work phone number field blank. If you're not sure, you may want to try reviewing your results after selecting just one of the above.
Consider also that it may not be good idea to assume that two records with the same surname, or even the same surname AND first name, are definitely duplicate records - especially from a large data set - because this could just be coincidence.
To narrow your search further, press the Filter icon and choose filter(s), then select Apply. (To search across your entire database, select Apply without any filters, and all records will included in the search.)
After selecting your filtering options, when you return to the Duplicate Finder screen, you'll see how many records are now selected (next to the filter icon).
You should refresh the list (if you've run previous filters) by selecting Apply again in the main Duplicate Finder screen.
All duplicated records that match your search (and filter) criteria will be displayed.
There's also a number (e.g. 2) to show how many duplicate records there are for each listing.
For each possible duplication listed, you can select Clean Up.
In the next screen, you can then choose to:
Delete one of the displayed records (if you know immediate which one is incorrect).
View a record (this will take you to the Attendees Panel. Click the Express Actions panel to return to where you were in the Duplicate Finder).
If you know you want to merge the records:
Choose one record to Set as Main. This makes the record the default location for any duplicate records to merge into.
Merge to Main. This means the selected duplicate record will be merged into your chosen Main record.
After making your "Set as Main" and "Merge to Main" selections, press "Update" to merge the duplicates into one record.
NOTE: If one of the contact records has data from a Contact Store, we recommend keeping that one as the Main.
You'll be asked to confirm this action:
Scroll through all Duplicate Record listings
If you have more than one set of records to review for clean up, you can use the left/right scroll arrows to scroll through your selections.
If merged data doesn't appear after clean-up of duplicates
Occasionally, merged data may not display immediately due to caching. To resolve this:
Wait for changes to process and then click the 'Refresh' button at the top-right of the attendee record to update the changes.
If the data is still missing, clear your browser cache and refresh the page again.
Verify which record was designated as the main during the merge. If you suspect data might have been lost, contact Support.
