Quick reports are a great way to create a pre-filtered and accessible report that you can share with vendors, clients and other authorized parties via a website link. These pre-filtered reports are extremely useful when creating filtered versions of existing reports. For example, Quick Reports can be used for:
A hotel check-in report filtered for just one specific hotel. This report can be used by you, and viewed by the hotel staff at the specified hotel.
A function list report filtered for one specific optional tour. Again, this report is available with a single click for your staff, and can be made available to an outside vendor for up-to-date access at any time.
To Create a Quick Report, follow these steps:
Select the Report Module that you want to view reports in.
Select the pre-defined report that you want to create a Quick Report for.
Apply any Filters that are needed for this report.
Select Create Quick Report.
Enter a unique Name for this report.
If you want to create a web-accessible link or Quick Report QR code, select Enable Web Publishing.
Decide if you want this report to be Public or Private and check the appropriate box.
If you select Private, enter the email addresses of authorized third parties who can access this report.
If you want to generate a PDF version of the report when the report is opened in a browser, select Create as PDF.
Your new Quick Report is now accessible from the Quick Reports section, at the top of the module list (on the left side of the screen).
The Role of Private and Public Reports
In today’s security conscious landscape, it is critical to know and manage which third-party processors or individuals are accessing personal data contained in EventsAir.
Typically, this could be:
Hotel partners
Service providers (like catering or transportation services)
Clients
Ecommerce Providers
When you create a Quick Report (or Quick Export) in EventsAir and enable Web Publishing, you have two options:
Public – anyone can view a report or export via a web URL
Private – only nominated parties can receive a report or export via email
This process lets the Data Protection Toolkit track and log every time an authorized third party accesses a Private Quick Report or Export.
Quick Reports in the Client Info Portal
The Client Info Portal is provided to your approved clients, and provides a controlled level of access to attendee data, reports, and data exports.
Quick Reports can be selected within the Client Info Portal Setup so they can be viewed/saved/exported directly from the Portal.
Quick Reports in the Mobile Organizer App
The Mobile Organizer App is a powerful tool designed for your management team to access attendee details, agenda information, run sheets, and much more, all in real time while onsite at your event. One powerful feature is the ability for you to view and access your Quick Reports from the Organizer App. Please note that all Quick Reports that you have defined will be accessible by default in the Mobile Organizer App.
