Change Logs (for one attendee, for your whole event, or for all events)

Sometimes you need to know when changes have been made in EventsAir, and who made them, and you need an unedited log from inside EventsAir.

You can find logs of these changes in different places in EventsAir, depending on what you need.

A record of changes for just one attendee

  • Let's say, for example, a hotel room was canceled, but the attendee denies calling to request this. You need the date, time, and the name of the EventsAir user who made the change. If you also have other information such as incoming calls Note Type, or even a custom field where you can upload cancellation emails, you could use the Change Log to demonstrate the facts (or establish that the cancellation was accidental and reinstate the booking). For a situation like this, you would check the individual attendee's Change Log (see more below).

Individual Change Log - Attendees Panel, Actions

The Change Log (under Actions in the Attendees Panel, for an individual attendee) lets you see exactly what changes have been made in this attendee record.

The Change Log for an individual attendee will have an icon indicating what module the change occurred in.

There is no filter for an individual attendee's Change Log but you can click at the top of each column to sort by that column [module - icon, date, user, details (e.g. name of item such as note type, accommodation item), and actions - added, modified, deleted.]

A record of multiple changes within an event

  • In this example, let's say you return from a week away and your assistant mentions having to update multiple attendees' registration details. You want to see a list of exactly which records were changed. For this, you would run the Change Log report in the event's Reporting Panel, (see below), filtering for the date, user, and module.

Change Log report - Reporting Panel, Contact Report Library

The Change Log Report (in the Contact Reports Library) in the Reporting Panel in your event, will show changes for all attendees in the event.

Running this report for all users, and all attendees, for too many days, can cause problems, so filter for the changes you need to see.

Because this report contains so much information, the date filter defaults to only showing changes for 1 day. If you don't re-set this filter, you may see a blank report.

You can also filter by EventsAir user, and select which modules you want to see.

You can select which order you want the changes to be shown by (for example, by contact ID number, module, or EventsAir user; or a custom sort order specifying which of those should come first, second and third).

This report will list the EventsAir user name, the attendee's ID number and name, the module, date and time, details, actions, and specific details of what was changed: the field, original value, and new value.

Changes across multiple events

  • For this example, let's imagine you want to demonstrate to one of your employees that they can save time by using a Bulk Action for some changes, instead of making manual updates one attendee at a time. For this, you would run the Global Change Log report (for all events) under the Global Tools Menu, in Reporting, User reports (see below). You would filter for a specific user, select only the modules you know they made changes in, and select an appropriate time range such as the past three months, but look at all events.

Change Log report for all events (Application Admins only)

Use the Menu button at the top right of EventsAir and choose "Reporting", then look in User reports for Change Log Report. This is a Global Change Log report for ALL your events - all users, all modules.

For obvious reasons, it's extremely important to filter this report carefully before you run it.

The filtering works much the same way as for a single event's Change Log report, but you can also filter for a specific event; or specify that you want results listed in Event order. (Note, you can't filter for a selection of events - it's either all events or just one.)
